Teams

A team is a workspace for one area of your work: a product, a client, a side project. Every issue belongs to exactly one team, and the team’s key is the first part of the issue’s identifier. Issue 42 in the team with the key ACME is ACME-42.

Each team has:

  • A name and a key. The key has 2 to 6 characters (capital letters and digits, starting with a letter) and appears in every identifier. You can change it until the team has its first issue; after that it is fixed, so identifiers stay stable.
  • A logo and a color. The logo is an SVG or PNG, square, at most 256 KB. You can add a second logo for dark backgrounds. Without a logo, XLR8 shows a placeholder made from the key and the team’s color.
  • Its own statuses. Every team has its own workflow, see Statuses and workflow.
  • Its own projects. A project belongs to exactly one team, see Projects.
  • Optionally, a knowledge area with pages for notes and documentation, see Knowledge.

Some things span all teams: sprints, workspace labels, the inbox and the triage view, and search.

  1. Press O then N or click the plus next to the teams in the sidebar. The Add team dialog opens.
  2. Enter a Name. XLR8 suggests a Key from the first letters of the name; change it if you like.
  3. Under Content, choose Issues, Issues and knowledge or Knowledge only.
  4. Optionally upload a Logo.
  5. Click Create team.

You can also add a team under Settings → Teams → New team. A new team starts with eight default statuses (Triage, Backlog, Todo, In Progress, In Review, Done, Canceled, Duplicate), which you can rename, extend or archive later.

The sidebar shows one team at the top as the Current team, with links to its Issues, Backlog, Projects, Knowledge (if turned on) and Settings, plus Triage while the team has issues waiting there. The other teams are listed below under Teams.

  • Press O then T (Switch team …) to pick another team. You stay on the same kind of page where that makes sense: from the projects overview you land on the other team’s projects, from a knowledge page in the other team’s knowledge area.
  • Press O then S (Current team settings) to open the settings of the current team.

Open a team under Settings → Teams, press O then S, or click Settings under the current team in the sidebar. There you change:

  • Name, Key (only while the team has no issues) and Color.
  • Dormant: see below.
  • Knowledge: Off, Alongside issues or Knowledge only.
  • Logo and Logo for dark backgrounds.
  • Workflow and Fixed order: the team’s statuses, see Statuses and workflow.

The order of teams under Settings → Teams is the order in the sidebar; use the arrows to move a team up or down.

Turn on Dormant for a team you are not actively working on. A dormant team:

  • moves out of the main team list in the sidebar into the collapsible Inactive section,
  • is left out of sprint planning,
  • still appears in search, in lists such as All issues, and in the team switcher.

Nothing is deleted, and you can turn Dormant off again at any time.

A team set to Knowledge only holds pages instead of issues, for example sources and notes on a topic. It has no issues and no workflow: it is left out when you create or move issues, accept from triage, set up recurrences and plan sprints. Opening such a team takes you straight to its knowledge area.

You can switch a team to Knowledge only only while it has no open issues and no active recurrences; completed issues stay. Switching back to Alongside issues always works. Off is only possible while the knowledge area has no pages. More in Knowledge.

Press CtrlCommand Shift M (Move to team …) on an issue or a selection and pick the target team. You can also click the team in the issue’s properties.

When an issue moves:

  • It gets a new identifier in the target team, for example OPS-24 becomes ACME-120. The old identifier keeps working: links, search and agents still find the issue under it.
  • Its status becomes the matching status of the target team: the same built-in status (such as Todo) if there is one, otherwise a status with the same name, otherwise one of the same type. The fixed order does not apply to moves.
  • Its project is removed, because a project belongs to exactly one team.
  • Labels of the old team are removed. Workspace labels stay.
  • Everything else stays: priority, estimate, due date, sprint, parent, description, comments and history.

If the move would remove a project or labels, XLR8 lists what changes and asks you to confirm first. Afterwards a message such as “OPS-24 is now ACME-120” appears with Undo.
